1. Who we are

Beautyfluencers is owned and operated by Fluencers Group LTD (“we”, “us” or “our”).

Fluencers Group LTD is the controller of personal information collected through Beautyfluencers, including our website, influencer registration forms and campaign services.

For privacy enquiries or to exercise your rights, contact jonathan@fluencersgroup.com.

2. Information we collect

Depending on how you interact with us, we may collect:

  • Your name, email address, telephone number and delivery address.
  • Your social media handles, profile links, content and publicly available engagement information.
  • Audience statistics, interests, content categories and product preferences you provide.
  • Information submitted through registration forms, campaign applications and correspondence.
  • Gifting preferences, campaign participation, delivery records and agreed deliverables.
  • Campaign content, links, performance information and feedback.
  • Records of your permissions, consent choices and withdrawals.
  • Technical information, including IP address, browser information and website activity, where collected through our website.

Please do not submit sensitive personal information, such as medical information, unless we specifically request it and explain how it will be used and protected.

3. How we use your information

We use personal information to:

  • Register and manage influencers within the Beautyfluencers network.
  • Assess suitability for brands, gifting opportunities and campaigns.
  • Match influencers with relevant products and participating brands.
  • Arrange product dispatch, delivery and campaign communications.
  • Manage agreed content, track campaign output and prepare reports.
  • Respond to enquiries and provide support.
  • Maintain security, prevent misuse and resolve disputes.
  • Meet legal, accounting and regulatory obligations.
  • Send marketing communications where permitted by law.

4. Gifting opt-in, automatic matching and data sharing

When you actively opt into our gifting service, you ask Beautyfluencers to consider and automatically match you with suitable gifting opportunities within the scope explained at registration.

Where your opt-in and the applicable lawful basis cover a match, we may share the information needed to arrange and manage that gifting opportunity without asking you to approve each individual match, disclosure or product dispatch.

Depending on the campaign, this may include:

  • Your name and relevant social media handles.
  • Your profile links, content category and relevant audience information.
  • Your delivery address.
  • Your email address and telephone number where needed for campaign administration or delivery.
  • Relevant product preferences, participation records and campaign deliverables.

We share only information reasonably needed for the relevant purpose. We do not give brands unrestricted access to all information we hold about you.

Recipients may include the participating brand, its authorised campaign team, fulfilment providers and delivery companies.

Where we or a participating brand rely on your consent, the consent request will identify the organisations relying on it and explain the information, purposes and activities covered. We will obtain a further opt-in where a new recipient or purpose falls outside the existing consent and fresh consent is required.

Opting into gifting does not automatically subscribe you to participating brands’ newsletters or unrelated marketing.

Gifting participation, content requirements and usage rights are governed by the applicable campaign or network terms. This privacy policy does not itself grant rights to use your content.

5. Our lawful bases

We identify an appropriate lawful basis before using or sharing personal information:

  • Consent: for optional gifting matching and sharing where consent is the appropriate basis, and marketing or cookies where consent is required.
  • Contract: where processing is objectively necessary to provide a service you have agreed to receive or take steps you have requested before entering a contract.
  • Legitimate interests: for proportionate administration, security, fraud prevention, business enquiries and campaign reporting, after considering your rights and expectations.
  • Legal obligation: where we must retain or disclose information to comply with the law.

We do not treat acceptance of this policy as blanket consent to every use of your information.

6. Other organisations receiving information

We may use service providers for hosting, registration forms, secure storage, communications, campaign management, analytics and professional advice.

Providers acting on our behalf must process information under appropriate contractual instructions and security requirements.

Participating brands may act as independent controllers when deciding how to process information for their own campaign and fulfilment activities. They are responsible for their own lawful basis, privacy information, security and retention arrangements.

Brands may create a fulfilment or order record to dispatch a gift. This does not, by itself, give them permission to use your information for unrelated marketing.

We may also disclose information where required by law or reasonably necessary to establish, exercise or defend legal claims.

7. Withdrawing from gifting

You can withdraw your gifting consent or ask to leave the gifting network at any time by emailing jonathan@fluencersgroup.com.

We will stop future matching and sharing that depend on your withdrawn consent. Withdrawal does not affect processing that was lawful before withdrawal.

If a gift has already been dispatched or a campaign is underway, we will explain any information still needed to complete delivery, manage existing commitments or meet legal obligations, and the lawful basis for retaining it.

Where appropriate, we will notify relevant recipients of withdrawal or valid deletion requests. A brand may retain limited records where it has a separate lawful reason, but cannot continue relying on withdrawn consent.

8. Matching and profiling

We may use profile information, interests, audience statistics and campaign history to assess suitability and recommend gifting opportunities.

Matching may involve automated tools, human review or both. You can contact us to correct information, change your preferences or raise a concern about a match.

If we introduce solely automated decisions producing legal or similarly significant effects, we will provide the required information and safeguards before doing so.

9. How long we keep information

We retain information only for as long as reasonably necessary for its purpose.

Retention depends on whether your profile remains active, campaign commitments are outstanding, records are needed for legal or accounting purposes, or information is required to resolve a dispute.

We periodically review records and delete or anonymise information no longer needed. We may retain a minimal suppression record to ensure we respect an opt-out.

You can request further information about the retention period applicable to your records.

10. International transfers and security

If personal information is transferred outside the UK, we will use the safeguards required by UK data protection law, such as applicable adequacy regulations or approved contractual safeguards.

We use appropriate technical and organisational measures to protect personal information and restrict access to those who need it. No online service can guarantee absolute security.

11. Cookies and marketing

Where our website uses cookies or similar technologies, we explain their purposes through the relevant cookie information and controls: see our cookie policy.

We obtain consent where required before using non-essential technologies. You can change your choices through the available cookie controls.

You can unsubscribe from our marketing using the unsubscribe option or by contacting us. Essential service and active campaign communications may continue where appropriate.

12. Your rights

Depending on the circumstances, you may have the right to:

  • Access your personal information.
  • Correct inaccurate or incomplete information.
  • Request deletion.
  • Restrict processing.
  • Object to processing, including direct marketing.
  • Receive or transfer certain information in a portable format.
  • Withdraw consent.
  • Request safeguards concerning qualifying automated decisions.

Contact jonathan@fluencersgroup.com to make a request. We normally respond within one month, subject to lawful extensions and any necessary identity checks.

You can also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint.

13. Changes to this policy

We may update this policy to reflect changes to our services or legal requirements. We will update the date above and provide further notice where appropriate.

Where a change requires fresh consent, publishing an updated policy will not replace obtaining that consent.
